456456456If you start to look at online project management software, you’ll quickly find that most modern systems may be defined as either task-based or file-based.

let me explain; It’s very simple to think of projects as being broken down into a series of tasks, often those tasks are interconnected, an illustrative example would be the building of a house. You have to build the foundations before you build the walls, you have to build the walls before you put the roof on and you have to do all of those before you can even think about preparing the interior.

So, many software developers started to develop software that allows users to quickly and conveniently build a task list – typically do this, do that, then do something else. Sophistication followed, tasks may be interconnected, they may have notes or files attached – they may even be commented upon.

Such systems can quickly become complex, basically a mass of tasks, definitely a case of not being able to see the wood for the trees.

But nonetheless if your process is task-based then a task-based project management system may be right for you.

More complex projects (the example of building a house would certainly count as a complex project) are better thought of as file-based. So, for example the first file(s) are the technical drawings or blueprints for the construction of the building. Further technical drawings may follow for the electrical and/or mechanical/heating installations, landscaping, access roads and civil construction. Further files or “Documents” may include detailed specifications of the materials and products that need to be used; even images supporting and enhancing the documents may be included.

The process starts with an agreed schedule of documents, which usually form the basis of a contractual commitment. Tasks, events, milestones and comments evolve around those tasks, without ever losing sight of the fact that these very documents form the basis of the contract and project undertaken. So, file based project management systems would generally be the better choice for more complex projects or, projects where a more detailed specification is required.
