Rosebery Group and TKR Services turn to Collabor8online
In enhancing both its internal communications and those to clients, TKR Services has selected Collabor8online, online collaboration software
TKR Services Ltd, a consortium of Trustland, Kimpton Building Services and Rosebery Group recognised the importance of ensuring effective communication channels between its divisions. In particular, it was essential that project documentation was always up-to-date, and available to authorised parties, which include the groups’ clients.
In order to meet these requirements they looked for a suitable online project management tool and although their initial investigations uncovered solutions that were both costly and complex, in Collabor8online they found a cost-effective solution that could be easily deployed and rapidly adopted by their team members.
In fact, the deployment of Collabor8online has been so successful that they now run the application within Rosebery Group for M&E projects and under the banner of TKR services for projects undertaken by the consortium.
Gary Burgon of Rosebery Group takes up the story:
The clients embraced it immediately and that has no doubt assisted the rapid uptake of Collabor8 across the whole group. With the type of projects we deliver, it is important that we address the needs of every department, from the Quantity Surveyors and Civil Engineers through to the Electrical and Mechanical Contractors. With Collabor8online we have found that we can keep everything in one place, and everybody knows where that is.
And it doesn’t stop there; within Rosebery’s alone we have a panel design division, fire alarms division and of course subcontractors, while Kimpton has air conditioning as well as an acoustic division. Each of these teams needs to be kept informed about project progress and be able to upload and have access to their own documentation at all times.
With Collabor8online we’ve been able to replicate the folder structure that we use for all our projects and save that as a “template” for new projects. The result is that we can create a project in seconds and the location of all the relevant files is familiar to everybody, as it reproduces what they have previously been using on our own internal file servers.”
The Rosebery/TKR system is located on a dedicated file server within Collabor8’s own secure data centre, meaning that the application can be accessed from their own offices, from site or anywhere else with an Internet connection. Access is controlled by username and password and this in turn dictates whether the user can see all or part of the project documentation. Clients for example will only be able to see sections of the project that are relevant to them.
Gary Burgon again:
We are involved with a lot of fast-track projects and it’s essential that we can get to documentation, specifications and drawings quickly and easily; our quantity surveyors are even putting applications and certifications up there! The speed with which the whole team has taken to Collabor8 has really impressed us”.
Rosebery/TKR has adopted the ‘self hosted’ solution on a dedicated file server, I which means the application can be located within their own domain name. For those looking for a more simple solution, Premium and Hosted versions are available. These are hosted by Collabor8 and users can sign up online for as little as £25 per month – with no capital outlay. With these versions, the system operates completely independently of the user’s file servers and IT infrastructure, while still offering the same functionality as the self-hosted product. All that is required is a PC or Mac with Internet access.
